Your plan and its billing live on the Plan page: the plan you are on now, what it costs, when it renews, and the actions to change or cancel it. A separate Billing history page lists your past charges. Payments are handled by Paddle, the payment provider — card details are never stored in Ceum.
The plans
There are four plans.
| Plan | Monthly | Annual |
|---|---|---|
| Free | Free | Free |
| Starter | $4.99 | $49.99 |
| Plus | $9.99 | $89.99 |
| Pro | $14.99 | $129.99 |
The amounts above are the prices in USD. Every currency is priced on its own rather than converted, so the figure you see in another currency is the price set for that currency, not an exchange-rate calculation of the dollar one.
Every new account starts with 14 days of Pro, so the assistant, MCP access, and the command line are all available while you try them. When the trial ends you pick a paid plan or carry on with Free — see After a trial ends.
What each plan adds
Each plan includes everything on the plans below it.
- Free — clients, projects, tasks, time tracking, transactions, one kanban board, the calendar, subscriptions, invoices, and the single-invoice PDF.
- Starter — adds documents (with the single-document PDF), email, the assistant, relationships, alerts, receipt scanning, transaction attachments, and the list and bulk exports.
- Plus — adds insights, reports, share links, time goals, the per-client and per-project hourly-rate overrides, combined views, calendar weather, letting the assistant read your workspace data, and the insight and report exports.
- Pro — adds MCP tokens, the command line, bulk edits, and assistant tool calling.
Limits
Where a cell says "Unlimited", the plan sets no cap.
| Limit | Free | Starter | Plus | Pro |
|---|---|---|---|---|
| Clients | 1 | 3 | 20 | Unlimited |
| Projects | 2 | 5 | 40 | Unlimited |
| Tasks | 100 | 1,000 | Unlimited | Unlimited |
| Kanban boards | 1 | 3 | 10 | Unlimited |
| Combined views | 0 | 0 | 10 | Unlimited |
| Documents | 0 | 10 | Unlimited | Unlimited |
| Invoices | 10 | 100 | Unlimited | Unlimited |
| Invoice templates | 1 | 3 | 10 | Unlimited |
| Storage | 1 MB | 10 MB | 100 MB | 1 GB |
| Emails per day | 0 | 10 | 50 | 100 |
| MCP tokens | 0 | 0 | 0 | Unlimited |
Rocky's usage is capped by two token allowances that run alongside each other — a daily one and a weekly one:
| Assistant tokens | Free | Starter | Plus | Pro |
|---|---|---|---|---|
| Per day | 0 | 50,000 | 100,000 | 200,000 |
| Per week | 0 | 100,000 | 300,000 | 500,000 |
The MCP token row is 0 on Free, Starter and Plus, so no token can be created below Pro. That is what makes MCP Pro-only in practice, and the standalone command-line tool with it, because that tool signs in with an MCP token.
How long each plan keeps your data is a separate table — see Items approaching deletion.
The current plan card
The card shows the plan that is actually active for you, with tags for anything worth flagging:
- Active — the plan is live.
- Free — no paid subscription.
- Managed — an administrator fixed your plan; it can't be changed from here.
- Trial active — a trial tier is granting the plan until the trial ends.
- % off active — a retention discount is reducing the charge for a number of renewals.
- Paused until … — the plan is frozen and will resume automatically on that date.
- Overdue — a payment failed. See below.
Tags stack. An Overdue tag sits next to the Active tag rather than replacing it, because a plan with a failed payment is still working.
What else is on the Plan page
Beyond the current plan card, the Plan page brings together everything about your subscription:
- Storage usage — how much of your plan's storage you've used, with a refresh control to recheck it.
- Available plans — the other tiers you can move to, with a monthly / annual billing toggle and a Compare features link. Moving up is an upgrade; moving down is a downgrade.
- Change or cancel — upgrade, downgrade, or subscribe from here. Cancelling opens a cancellation wizard that can show the usage and items a downgrade or cancellation would put at risk (see Items approaching deletion) and may offer a retention discount before you confirm.
- Scheduled changes — a downgrade or cancellation usually takes effect at the end of the current period, so the page shows what's scheduled and lets you undo it before it applies.
- Trial states — while a trial is active, the page shows what it grants and when it ends, along with the controls to convert to a paid plan.
- View billing history — a link to the separate Billing history page.
When a renewal payment fails
Cards expire, get replaced, or get declined. When the renewal charge doesn't go through, three things happen:
- The plan keeps working. Nothing is switched off at the moment of failure. Everything on the plan stays available while the payment is being sorted out.
- The payment is retried automatically. Paddle retries the card several times over roughly a month, at times chosen to maximise the chance of success. The timing isn't something Ceum controls or can show in advance.
- The plan ends if the payment is never completed. Once the retry window is over without a successful payment, the subscription stops and the account drops to the free plan.
Ceum flags the problem in three places while this is going on: the red Overdue tag on the current plan card, a notice on the Plan page, and a banner on the Dashboard. None of them can be permanently dismissed while the payment is still outstanding — a dismissed dashboard banner comes back if another renewal fails.
The renewal date is hidden while a payment is overdue. The stored date is the renewal that failed, so showing it as "next billing" would be wrong, and the next automatic retry is on the provider's schedule.
Emails you'll get
Paddle sends up to four payment recovery emails while it retries — typically on days 1, 3, 5, and 7. Each one links straight to a page where the payment can be completed. These come from the payment provider, not from Ceum, so they aren't affected by any notification preference in Settings. Ceum deliberately doesn't send its own duplicate.
Retrying the payment yourself
Waiting for the next automatic retry isn't necessary. On the Plan page, the overdue notice has a Retry payment button. It opens the provider's secure checkout showing the outstanding amount, where the payment can be completed with the existing card or a new one.
Once the payment goes through, the checkout closes and the plan returns to normal within a few seconds — the confirmation arrives from the payment provider, so the page keeps refreshing until it confirms rather than claiming success immediately. The Overdue tag disappears and a new renewal date appears.
If the retry fails again, the card itself is the problem. Use the same button and enter a different card.
Updating your card without a failed payment
The same flow works before anything goes wrong. On an active paid plan, Update payment method on the current plan card opens the provider's checkout for a zero-amount transaction — nothing is charged, and the new card is used for future renewals. Worth doing whenever a card is about to expire.
What happens after the plan ends
If the payment is never completed, the subscription stops and the account moves to the free plan. Data is not deleted at that moment, but free-plan limits start to apply — see the retention notice on the Plan page for anything scheduled for removal, and export what matters before then. Subscribing again from the same page restores the paid limits.
Settings a lower plan no longer covers
Moving down a tier does not rewrite what you have already configured. A setting the new plan does not cover keeps its saved value and keeps being applied; what you lose is the ability to change it.
The per-client and per-project hourly rate and invoicing currency work this way. On a plan without them, both fields stay on screen showing what is saved, invoices keep pricing from those values, and each field offers a Clear override control. Clearing hands the field back to the level above and is saved with the rest of the form. The defaults in Brand & invoicing are on every plan and are unaffected.
Billing history
The Billing history page is a read-only log of your billing events — each row shows the date, the event type, the plan, and the amount. You can filter by type and date, sort by date, type, or amount, and jump back to plan management with Manage plan.
After a trial ends
When a trial tier lapses, a blocking trial decision step (at /trial-decision) asks what to do next: keep the trial tier by subscribing to it, step down to the next paid tier where one applies, or continue on the free plan. Until you choose, it stands in front of the rest of the app.
On mobile
Mobile has its own Plan and Billing screens under Settings. Plan mirrors the current plan, storage usage, available plans, and the cancellation/retention flow; when a brand-new paid subscription or a past-due retry needs the provider's hosted checkout, it links out to the web Plan page. Billing is a read-only event log — it doesn't carry the full web filter and sort controls.
